    Optima Learning Center (myOLC) (“Optima”, “we”, “our”, or “us”) collects and processes personal information that is relevant and necessary for educational and operational purposes within the platform. The information we may collect includes, but is not limited to:

    • Full name
    • Email address
    • Phone number
    • Student identification data
    • Academic records and scores
    • Attendance history
    • Device and login activity information
    • Uploaded assignments or learning materials

To provide secure authentication and account management, Optima utilizes Firebase Authentication and Google Services. These technologies help ensure that login sessions, account verification, and user access are encrypted and securely managed.

In addition, certain technical information such as device type, browser information, IP address, and application activity logs may be collected automatically to improve platform performance, security monitoring, and troubleshooting.

  1. Use of Data

    All collected data is used strictly for educational, operational, and security-related purposes. Specifically, the data may be used to:

    • Provide access to Learning Management System (LMS) features such as Tryouts, Learning Materials, Attendance Tracking, and Academic Reports.
    • Monitor and analyze student learning progress and academic performance.
    • Facilitate communication between students, teachers, administrators, and parents.
    • Send academic notifications, reminders, schedules, announcements, and updates through email, WhatsApp, or Firebase Cloud Messaging (FCM) push notifications.
    • Improve system performance, user experience, and application stability.
    • Prevent unauthorized access, abuse, fraud, or academic dishonesty within the platform.

    • Maintain backup records and system logs for operational continuity and security auditing purposes.

Optima does not sell, rent, or distribute users’ personal information to unauthorized third parties.

  1. Data Security

    Optima is committed to protecting user information through industry-standard security practices and technologies. Our platform utilizes Google Cloud services, including Google Apps Script, Firebase Firestore, Firebase Authentication, and Firebase Cloud Messaging (FCM), which are supported by Google’s high-level infrastructure security standards.

Security measures implemented include:

    • Secure authentication using Token/Session validation.
    • Password hashing using SHA-256 encryption before transmission to the server.
    • Encrypted communication between the application and server using HTTPS/SSL protocols.
    • Access control mechanisms to limit unauthorized access to sensitive information.
    • Activity logging and monitoring to detect suspicious or unauthorized behavior.

Although we strive to maintain the highest level of security, no internet-based system can be guaranteed to be 100% secure. Therefore, users are also responsible for maintaining the confidentiality of their account credentials.

  1. User Rights and Responsibilities

    As a user of the Optima platform, you have the right to:

    • Access and review your academic information, including grades, attendance records, and learning history.
    • Request corrections to inaccurate personal information where applicable.
    • Receive transparent information regarding the use of your data within the platform.

Users are responsible for:

    • Maintaining the confidentiality of their username and password.
    • Using the application in accordance with academic ethics and platform rules.
    • Ensuring that submitted information is accurate and up to date.
    • Avoiding any activity that may compromise system security or academic integrity.

Users are strictly prohibited from:

    • Sharing account credentials with unauthorized individuals.
    • Manipulating tryout results or academic data.
    • Using automated tools, scripts, or unauthorized methods to exploit the system.
    • Distributing restricted learning content without permission.

If any violations, suspicious activities, cheating, or misuse of the application are detected, Optima reserves the right to temporarily suspend, restrict, or permanently terminate account access without prior notice in order to protect the integrity and security of the platform.

  1. Third-Party Services

    Optima may integrate with third-party services and technologies provided by trusted platforms such as Google Firebase and Google Cloud Platform. These services may process certain technical and authentication-related data as part of their functionality.

By using the application, users acknowledge and agree that some data processing activities may involve third-party infrastructure providers operating under their respective privacy and security standards.

  1. Data Retention

    User data may be stored for as long as necessary to provide educational services, maintain academic records, comply with legal obligations, resolve disputes, and enforce platform policies.

Optima reserves the right to retain certain information for security, audit, backup, or compliance purposes even after an account becomes inactive or is deleted, where permitted by applicable regulations.

  1. Policy Updates and Changes

    This Privacy Policy and Terms & Conditions may be revised, updated, or modified at any time without direct individual notification. Changes may be made to comply with legal requirements, operational improvements, security enhancements, or feature updates.

Users are encouraged to periodically review the latest version of this policy. Continued use of the application after updates are published constitutes acceptance of the revised terms and policies.
